WhatsApp Business for Small Businesses in Kenya: Setup Guide (2026)
The WhatsApp Business app is free to download and use. It adds a business profile, a product catalogue, saved replies, automatic greeting and away messages and chat labels to the WhatsApp you already know. Set it up once and it handles the repetitive part of selling: answering questions about price, location and payment.
The app or the platform? Start with the app
| WhatsApp Business app | WhatsApp Business Platform (API) | |
|---|---|---|
| Cost | Free to download and use | Paid per message. Since July 2025, business-initiated conversations are charged by template category and country; replies to customer-started chats within 24 hours are free |
| Who it suits | Small businesses and small teams | Companies sending high volumes, connected to other software |
| Devices | One phone plus up to four linked devices | Set up through Meta or an approved provider |
Most small businesses should start with the free app and move to the platform only when volume requires it.
Set it up in nine steps
- Download WhatsApp Business from Google Play or the App Store. It is a separate app from ordinary WhatsApp.
- Verify your business number. Use a number you will keep for the business, so customers do not end up in your personal chats.
- Complete the business profile: business name, logo, category, opening hours, address, website, email and a short description. Customers judge you by this page, so fill in everything.
- Build a catalogue. Add your products or services with photos, prices and short descriptions. Customers can browse without asking you for a price list.
- Set a greeting message that welcomes new customers automatically.
- Set an away message for after hours, so nobody feels ignored.
- Save quick replies for your most common questions: price, location, delivery and payment.
- Create labels to track each customer, for example New enquiry, Waiting for payment, Paid and Delivered.
- Create your chat link and QR code from the Business tools menu, so people can start a chat with one tap.

Tips for getting customers in Kenya
- Put your WhatsApp link everywhere: your Instagram and Facebook profiles, Google Business Profile, invoices, business cards and email signature.
- Reply fast. A reply within a few minutes wins sales that a reply the next day loses.
- Use WhatsApp Status to show new stock, results and offers.
- Send broadcasts only to people who agreed. Broadcast messages reach only contacts who have saved your number, and unwanted messages lead to blocks and reports.
- Do not add people to groups without asking.
- Agree who answers. All staff work under the same account, so decide who replies and when, and keep a consistent tone.
- Connect your ads. Facebook and Instagram ads can send people straight to a WhatsApp chat. See our social media guide.
Common mistakes
- Using a personal number, so business and private chats mix.
- Leaving the profile half empty.
- Slow replies, or no way to confirm payments.
- Sending the same promotion to everyone repeatedly.
- Putting the whole business on one phone with no backup.
